Shadow Company ("Shadow Company," "we," "our," or "us") respects your privacy. This policy explains how we collect, use, store, and share information when you visit shadowcompanysc.org, use our recruitment and support services, access the Shadow Company Contract Portal, purchase merchandise, or otherwise interact with our services.
1. Information We Collect
We may collect your name, display name, email address, Star Citizen or RSI handle, Discord username, account and authentication information, recruitment applications, support tickets, contract requests, messages, ranks, roles, assignments, order details, policy-consent records, and information you voluntarily provide. We may also receive technical information such as IP address, browser and device type, timestamps, cookies, session data, and security or diagnostic logs.
Passwords are handled by our authentication provider and are not stored by us in readable form. Please do not submit sensitive personal information that is unnecessary for the requested service.
2. How We Use Information
We use information to provide and secure accounts; review membership, staff, and portal access requests; process applications and support tickets; administer contracts, assignments, ranks, and communications; process and fulfill merchandise orders; record acceptance of store terms; send service and security notifications; prevent abuse; troubleshoot our services; enforce our policies; and comply with applicable law.
3. Service Providers
We may use third-party providers including Supabase for authentication and databases, Vercel for hosting, Shopify for storefront and checkout services, Printful for merchandise production and fulfillment, Discord for operational notifications, Twitch for embedded creator content, and Google for business communications. These providers process information under their own privacy policies.
4. Merchandise and Payments
Payments are processed by Shopify and its payment providers. We do not directly store complete payment-card numbers. Order and shipping information may be shared with Shopify, Printful, payment processors, carriers, and other providers as necessary to complete your order.
5. Discord Notifications
Support requests, access requests, contract activity, and related updates may generate notifications in designated Shadow Company Discord channels. Do not include unnecessary confidential information in tickets, contracts, or messages.
6. Cookies and Similar Technologies
Our services and providers may use cookies, local storage, and session tokens to keep you signed in, preserve preferences and policy acknowledgements, operate storefront or embedded features, prevent fraud, and diagnose errors. Restricting these technologies may prevent some features from functioning.
7. Sharing and Disclosure
We do not sell your personal information. We may disclose information to service providers, authorized Shadow Company personnel, clients or assigned members when necessary to fulfill a contract, legal authorities when required, or others when reasonably necessary to protect our users, rights, and services.
8. Retention and Security
We retain information only as long as reasonably necessary for operations, security, transactions, dispute resolution, policy enforcement, and legal compliance. We use reasonable safeguards, but no online service can guarantee absolute security. You are responsible for safeguarding your credentials.
9. Your Choices and Rights
Depending on your location, you may request access, correction, deletion, or a copy of eligible personal information, or withdraw consent where applicable. Some records may be retained for security, contractual, transactional, or legal purposes. We may verify your identity before acting on a request.
10. Children
Our services are not intended for children under 13, and we do not knowingly collect personal information from children under 13. Users under the age of legal majority in their location should use account and merchandise services only with permission from a parent or guardian.
11. External Services and Changes
Links and embedded content from third parties are governed by those parties' policies. We may update this policy as our services or legal obligations change. The revised version will be posted here with an updated effective date.
